Rules at Otaku Fellowship Society Events:
In order to ensure a safe and family friendly environment, The Otaku Fellowship Society (OFS) requires that you obey the following rules. By purchasing your membership here on the site, at the door, or at an authorized retailer, you agree to the following:
Membership (Badge) Rules:
This is not a physical ticket. To pickup pre-registration, you must bring a copy of your pre-registration receipt and a picture government issued ID (Drivers Licence, ID Card, Passport, Military ID) or a picture ID from a high-school or place of higher education to the convention. If you are purchasing a badge for someone else, please write their full name that matches their name on their ID in the “Add additional notes to merchant” section during check out.
Membership Badges must be worn at all times during the convention above the waist on the front of your torso where it is easily visible for staff and other attendees. Your membership badge is the property of the Otaku Fellowship Society until the end of the event. It may be repossessed at any time by OFS staff for any rule violation. If you lose your badge, please notify the Registration Desk. There is a replacement fee of $10 per lost badge.
Anything that is illegal outside of the convention is illegal inside the convention. Harassment is not tolerated. The OFS is committed to providing an experience that is fun for everyone involved. With this in mind dedicated to providing a harassment-free convention for everyone, regardless of gender, sexual orientation, disability, physical appearance, body size, race, age, or religion. We do not tolerate harassment of convention participants in any form. Harassment includes, but is not limited to: offensive verbal comments related to gender, sexual orientation, disability, physical appearance, body size, race, age, religion; deliberate intimidation, stalking, following, harassing photography or recording; sustained disruption of talks or events, inappropriate physical contact, and unwelcome sexual attention. If you believe that you are being harassed by another person please tell the offending person in a clear and unambiguous manner that their conduct is unwelcome and that you want it to stop. Participants asked to stop any harassing behavior are expected to comply immediately. If said conduct does not cease after you have warned them, please speak to a staff member of the OFS.
During the convention we have a standard two strike policy. The first time that you are warned for breaking a rule or doing something that a staff member feels is inappropriate your badge bottom corner will be cut off. If you have to be warned a second time your badge will be confiscated with no refund, and you will be escorted off of the premises. OFS staff can decide to forgo the 1st strike if we feel that it is warrantied.
If staff believes anyone to be breaking laws, or causing a serious disruption, including damage to facilities or posing a danger to other attendees or staff, SAPD will be summoned. OFS staff reserves the right to revoke your badge for any reason with no refund. All Staff decisions are final!
All OFS events are alcohol and drug free (except where noted by law.) If you come to any OFS event under the influence of alcohol (or other substances) you will be asked to leave. If you are caught providing alcohol or drugs to anyone at the convention you will be banned from OFS events permanently. Vaping is prohibited in all parts of the convention that doesn’t have signage that says otherwise.
There are NO REFUNDS for convention badges. This includes, but is not limited to, fees for membership badges, advertisements, and Dealer/Artist tables.
All children under the age of 12 must be escorted by a parent or guardian at ALL TIMES. Children 10 and under are free with the purchase of a membership badge for their parent or guardian.
You must be at least 16 years of age to purchase a membership to any OFS conventions.
Dress Code Rules
Clothing must be worn at all times. All attendees must wear shirts (including vests, tank tops and/or coats), shoes (inside), and pants or skirts/dresses.
Note: Shirts must cover the sides and bottoms of the breasts as well as the nipple area on Men and Women. Mesh shirts and the like do not count as sufficient cover. Bikini swimsuit tops will suffice as long as no ‘underboob’ or side-boob’ is visible.
Short skirts, kilts, etc. must be accompanied by proper underwear/shorts. Ineffective underwear or a lack thereof constitutes indecent exposure. Underwear, or the fact that no underwear is present, should not be visible. Offenders will be turned over to SAPD.
No lingerie costumes allowed.
Nudity, or the illusion of such, is strictly forbidden both at OFS events and during Cosplay. Please do not wear clothing with distasteful messages or words. This holds true for signs that are held or messages/words written on shirts. PG-13 only please!
All costumes must follow weapons policy.
Costumes should not extend far enough from the wearer to impede foot traffic or present an impact risk to other attendees.
Proper footwear is required at all times. An exception to this rule is for cosplayers during the cosplay contest only.
No Rollerblades, roller-skates, or wheeled shoes. An exception to this rule is for cosplayers during the cosplay contest. Please no skateboard or scooter use.
OFS staff have final say on any Dress Code violations. Arguing with convention staff about dress code decisions will result in your badge being confiscated with no refund and you will be escorted off of the premises.
Real weapons are not allowed! No metal swords, knives, bayonets, cane-swords, and/or other objects made of metal, which have a sharp point or sharpened edge. No real or replica guns of any kind permitted. (e.g. No Pellet guns, Air Guns, Mini or Pistol crossbows, Stun guns, dart, or blowguns.)
Exceptions regarding toy guns: Easily identifiable toy plastic guns with no moving parts and that have a clearly visible non-removable brightly colored tip will be permitted. Resin models will be permitted as long as they are marked with clearly visible non-removable brightly colored tip. All triggers must be zip-tied back. Nunchakus are not permitted. Nunchaku made out of craft materials for cosplay purposes will be permitted within the confines of the cosplay contest. There are to be no explosives or chemicals of any kind (e.g. smoke powder, sparklers, fireworks, etc.)
Prop weapons that are permitted include: wooden staves, wooden walking sticks, wood bokken and other wooden swords. Prop or made-up weaponry (example: made of wood, plastic, foam, plaster of Paris, cloth etc) are permitted if they are safe and not dangerous to the other con-goers around you. If you have a question about a prop, please do not assume it is legal; ask an OFS staff member! Misuse of any prop-weapon, such as swinging it in a public area or causing hazards to passerby, will get your membership badge revoked immediately. If we deem a weapon to be unsafe for an event, we will ask you to store the unsafe weapon in your car. If there is a repeat offense, or if the weapon is illegal, SAPD will be summoned.
Vendor/Artist Table Rules at Otaku Fellowship Society Events:
All Artists and Vendors must have a TEXAS Sales Tax Permit, and are responsible for reporting their sales and taxes to the State of Texas. You will be required to bring a copy of it to any OFS event you vend at. To get one please go to: http://comptroller.texas.gov
At OFS events, Artist and Vendor tables may be mixed within an area. This is to maximize foot traffic and potential sales for all those who are vending. We will state what system is used on each event page.
Each table set-up comes with a space that is 6ft x 10ft (10ft x 10ft at some events), the use of one 30in x 6 foot table, 2 chairs, and 4 event memberships per table.
The OFS nor any parties acting on its behalf are not responsible for any personal items or merchandise on your table. The Artist / Vendor room is generally a friendly, safe area but we still recommend that you watch your merchandise and belongings.
You may not sell any ‘live steel’ weapons or weapons that could be considered realistic (this is for the safety of all con attendees as well as on request of the SAPD). If you have a question about what constitutes as realistic, please contact staff on-site and we will make a call. Regarding live steel (sharpened or un-sharpened metal weapons), if you are caught selling live steel we will ask SAPD to escort you off campus and you will forfeit your table.
No food, drinks, or snacks can be sold in the vendor/artist room unless you have written approval by OFS Staff. As each event venue is unique, food and drink rules will be updated with each event.
Artist Tables: If you are selling hand-made goods or other artistic services ONLY, you will need an artist table. If you buy an Artist table and sell commercial merchandise you will be asked to either put said merchandise away or pay the difference to upgrade to a vendor table. The artist bears all responsibility and risk for the items brought for sale at any events that are under the OFS. Any questions regarding this policy will be resolved by the head of the Vendor Room/Artist Alley at the event, in consultation with OFS’ legal team when needed. You may not advertise the names of trademarked works to sell your own. If a piece of art appears to be very similar to a copyrighted, licensed, etc. piece of artwork, you will be asked to remove it from display and sale at the discretion of the OFS staff; if you continue to do so, you will be asked to leave and forfeit your table. All OFS staff decisions are final.
Vendor Tables: If you are selling retail-based goods or services you will need a Vendor Table. If you are found to be selling pirated merchandise you will be asked to remove it from display and sale at the discretion of the OFS staff; if you continue to do so, you will be asked to leave and forfeit your table. All OFS staff decisions are final.
Adult merchandise: Most of OFS events are a family friendly, and with that in mind, please no visible “adult” merchandise. OFS reserves the right to ask retailers to remove from display or sale any items the staff feels are inappropriate. If we do allow you to sell said merchandise at an event, it must be contained so that those who are not of age cannot see it. Selling said merchandise with checking identification at an OFS event will automatically forfeit your table.
Grid-Wall use: Grid-Wall may be used anywhere however any grid-wall that is taller than 6ft must be approved by OFS staff. Please, no walk-through structures. OFS staff reserves the right to approve or deny any set-ups that are cause for safety concern.
Electricity and Internet Access: It is up to the vendor/artist to supply their own means of internet access and electricity. OFS will not be responsible for providing ether at an OFS sanctioned event.
Vendors and artists are expected to keep their areas neat and tidy; at closing, vendors and artists are expected to clean up any trash, scraps, or other messes in and around their area.
Cosplay Rules at Otaku Fellowship Society Events:
All participants must have a membership badge for paid events, for free events see updated rules posted.
Designated check-in times will be announced before the convention. Please check-in during any of these times to be sure your slot is secured for the show and to get prejudging, rehearsal and show times. You may check with cosplay staff at those times if there are any slots available for on-site sign ups.
Categories are separated into Walk-ons and Skit entries. There is an optional craftsmanship award if you elect to attend prejudging.
There is no age restrictions on entering the contest, however, contestants under the age of 12 will need to be accompanied by a parent or legal guardian at all times.
All costumes must abide by the rules of the OFS dress code and weapon policy. If a policy violation is discovered by any of the staff or judges, that entry will be disqualified.
Purchased costumes will not be allowed to enter the contest. However, exceptions can be made for costumes that contain modified or altered pieces. You may even enter these costumes for prejudging, just be prepared to explain the process of how the costume was created, altered, or modified.
We follow the 70% hand-made rule. If you have any questions, please ask a member of cosplay staff as costumes can be reviewed on a case-by-case basis.
Costumes do not have to be worn by the creator. A model may be chosen to showcase a costume but the creator of the costume MUST be present at sign-up and prejudging. Creators also must be prepared to explain the creative process behind the costume.
If the contestant elects to attend prejudging, they are highly encouraged to bring reference materials. Not all judges know all characters and so it’s in your best interest to bring in a photo (or several if possible) to show the judges.
During the performance portion of the contest, you must be able to move freely enough that you can go up and down stairs. Should you need assistance for a bulky costume, you are advised to bring an assistant to help you as OFS staff will not be able to provide contestants with a handler.
If you have any special needs, please let a member of cosplay staff know and we will see what can be done to accommodate.
Each walk-on will have 30 seconds to walk the stage. Groups will be granted some extra time so that all members can get time to shine on stage.
Skits are limited to 2 minutes and 30 seconds for their performance.
Please bring a CD or USB stick with your skit audio in mp3 format to the rehearsal so that it can be given to the tech staff to play for your skit. You must be okay with staff labeling your media with your skit number and name so we know when to play the music.
There will be no running, jumping, or flipping on stage. Please use the stairs to enter and exit the stage as jumping off or onto the stage is absolutely prohibited and will be grounds for disqualification and ejection.
There will be no use of fire, glitter, liquids, projectiles of any sort, or any other objects that will cause a mess. What goes on the stage must come off the stage.
There will not be any microphones provided to the contestants.
We ask that all contestants display good sportsmanship to each other and the judges.
There will be numerous prizes as decided by the judges.
There will be a Best in Show, Best Walk On, Best Skit, and Judges Awards. There may be more awards at the discretion of the judges.
While we don’t foresee any changes to these rules, certain circumstances may require the rules to change. These rules and any changes will be posted at the cosplay sign-up booth for viewing at any time.
